My email ends up in the recipient’s spam folder

Email you send arrives, but the recipient finds it in the spam folder. Check the domain’s SPF, DKIM and DMARC, and how the email is sent.

Right guide?

Is your email not arriving at all? I can’t send email

Common causes

1DKIM or DMARC is missing

Check

Does the domain have DKIM and a DMARC record? Without them, the recipient can’t tell that the email really comes from you.

What to do

Turn on DKIM in DirectAdmin with Enable DKIM under E-mail Accounts, and add a DMARC record.

Set up SPF, DKIM and DMARC for your domain
2You also send through another service

Check

Do you send newsletters with another tool, for example? Is that service included in the domain’s SPF record?

What to do

Add the service’s include to the SPF record that’s already there.

Set up SPF, DKIM and DMARC for your domain
3There are two SPF records

Check

Does the domain have more than one SPF record? Then both count as wrong.

What to do

Merge them into one.

Set up SPF, DKIM and DMARC for your domain
4It happens with newsletters or many recipients at once

Check

Are you sending bulk email from a normal email address? That looks like spam.

What to do

Send newsletters with a mailing tool, such as Inleed Mailer.

5The sender address has a different domain than yours

Check

Does a contact form, for example, send in the visitor’s name?

What to do

Let the form send from an address on your own domain, and set the visitor as the reply-to address.

Good to know

  • Test your email at mail-tester.com. It shows what lowers the score.
  • A new domain has no reputation yet. It helps when recipients mark your email as not spam.
